Replace an eSign Template's Base Document

Learn how to seamlessly replace the base document of an eSign template without resetting the template configuration.

Introduction:

Sponsors have the ability to replace the base document of an existing eSign template with a different one. This feature allows sponsors to make updates or corrections to the eSign document without resetting the template configuration. This article will guide you through the steps of replacing an eSign template's base document.

Step 1: Accessing the eSign Templates

  • Log in to your sponsor account
  • Navigate to the "Portfolio" section

Step 2: Selecting the Desired Offering

  • Within your portfolio, select the offering for which you want to manage eSign templates.

Step 3: Accessing the eSign Template with "Completed" Status

  • Locate the eSign template you wish to modify. Templates with a "Completed" status will display three dots next to them.

Step 4: Replacing the Base Document

  • Click on the three dots next to the eSign template with "Completed" status.
  • From the options that appear, select "Replace Document."

Step 5: Uploading the New Document

  • A "Replace Document" popup will be displayed.
  • Upload the new document that you want to use as the base document.

🚨 Warning

Ensure that the new document has at least the same number of pages as the current one.

Step 6: Confirming the Replacement

  • After uploading the new document, click on the "Replace" button.
  • A confirmation dialog will appear. Confirm your choice by clicking "OK."

Step 7: Verification

  • If the number of pages in the new document is not equal to or greater than the original, an error message will be displayed.

Step 8: Document Replacement Completion

  • Upon confirmation, the template's base document will be replaced with the new document, and all existing fields will remain intact.

Step 9: Impact on Subscription Status

  • For subscriptions with a "Completed" status, the base document will remain the same.
  • For subscriptions with "Pending" or "Not started" status, the new document will replace the old one, while retaining all existing fields (signatures will not be removed).

Additional Information:

  • When replacing the document for multiple templates, a selection popup will appear to allow you to choose the relevant template.
  • Ensure that the new document meets the following criteria:
    • The number of pages is equal to or greater than the original document.
    • The file size does not exceed 5 MB.
    • The orientation matches the original document (portrait or landscape).
